Teen Teacher Selection Phase – Privacy Notice

Who we are?

We are the Rosa Riganti Foundation, a non-profit organization based in Switzerland (the “Foundation“), that collects, among other tasks, applications of volunteer English native-speaking teen teachers – or Cambridge certified equivalent – aged 14 to 18 (the “Teen Teacher”) for the New Wor(l)ds project, an educational project designed to connect young people around the world through English language learning and cultural exchange (the “Project“).  This Project is at the heart of the Foundation’s initiatives to promote English language learning to deserving kids in need, aged 8 to 13 located worldwide (the “Kids”). As part of the Project, the Foundation provides bursaries to selected schools worldwide, enabling Kids to attend free English extra-curricular activities. These bursaries are intended to help the Kids prepare for internationally recognized language certifications, such as Pre A1 Starters, A1 Movers, A2 Flyers, PET or B1 Preliminary (the “Certificate“), to be taken at Anglia Ruskin University or at other officially accredited language assessment centers.

The extra-curricular activities for the Kids are divided in two categories of lessons, (i) the EEC Classes, lessons taught to the Kids in-person by certified English Teachers from each school of the Kids, and (ii) occasional on-line lessons taught by the Teen Teachers to the Kids (the “Boosting Lessons“).

The Foundation collaborates with Centro Internazionale per l’Infanzia of Pescara, Italy (the “CII“) and the Principal of CII, Miss Darian, which support the Foundation in the organization and management of the Project and related activities. Miss Darian (the “Voluntary Teacher“) will appoint, coordinate, manage and integrate qualified voluntary teachers for your assessment and selection phase (together with the Voluntary Teacher, the “Panel of Examiners“).

The Foundation and the Voluntary Teacher act as independent data controllers for their respective processing activities. In particular, the Foundation is responsible for collecting the data related to your application, while the Voluntary Teacher is responsible for assessing and selecting your application to join the Project and for appointing the other members of the Panel of Examiners, who will operate as data processors on behalf of the Voluntary Teacher.

Why are we collecting your data?

We collect your data only to allow the assessment and the selection of your application to join the Project as a volunteer Teen Teacher and decide who will be part of the teaching team, according to the Participation Rules of the Project:

  • The Foundation will be the party in charge to collect and inform you about the outcome of your application and will transfer your application and contacts to the Voluntary Teacher – who will share the same with the Panel of Examiners – for the selection process.
  • The Panel of Examiners will assess your application and conduct the selection process, according to the Rules of the Project.
  • In addition, the Foundation will process your data for promotional purposes and keep you informed on any of its activities through its newsletters.

If the Panel of Examiners deems your application successful, the Voluntary Teacher will transfer your data to CII for the organization and delivery of the Boosting Lessons; an additional privacy notice and further details will be provided in this respect.

What personal data do we collect?

To select the right Teen Teacher candidates, we collect:

  • Your full name, date of birth, contact details (email, phone),
  • Your country of residence,
  • Your passport details,
  • A copy of your passport,
  • A copy of the Cambridge B2 English Certificate (or equivalent),
  • A curriculum vitae (CV), with no picture,
  • A recommendation letter from a teacher at the Teen Teacher applicant’s current school,
  • A 100-word motivation essay according to the application form,
  • Results of language tests on a second or third language, if applicable,
  • Interviews with the teacher who has signed the recommendation letter at the Teen Teacher applicant’s current school,
  • Any data collected during the multiple-choice quiz and follow up interview, including aptitudinal data,
  • For minors: full names, email addresses, phone numbers, and ID document details of your parent(s) or legal guardian(s).

We also require confirmation that you have no pending criminal charges, nor you are subject to any ongoing judicial proceedings.

Why are we allowed to use your data?

If you are a minor:

  • processing of your data for the application is based on the authorization of your parent(s) or guardian(s);
  • processing of your data for promotional purposes is based on the consent of your parent(s) or guardian(s).

Specifically, the authorization of your parent(s) or guardian(s) is required for both participation to the selection phase of the Project and the data processing, in accordance with applicable laws (Swiss Data Protection Act, Italian Data Protection Code, GDPR, etc.).

If you are of legal age:

  • processing of your data for the application is based on your request to join the Project;
  • processing of your data for promotional purposes is based on your consent.

Without the necessary authorization or agreement, we cannot process your application.

Failure to receive the consent for promotional purposes, will not have any consequences on your application.

The consent can be revoked any time by sending an email to privacy@rosarigantifoundation.ch or by clicking on the “unsubscribe button” in one of our promotional e-mails.

Where and how we collect your data?

We keep your data safely in Switzerland or in the European Union. Data may be collected through:

Who will process your data?

Your personal data will be accessed only by authorized members of the Foundation, the Voluntary Teacher and of the Panel of Examiners. If necessary, data may be processed by external providers (acting as processors or controllers) who assist us with website and IT platform management, mailing activities, legal advice.

Online videoconferencing platforms (e.g., Microsoft Teams, Zoom or similar tools) may be used for the purpose of enabling participation in the Project’s selection process. These platforms declare compliance with GDPR and the adoption of appropriate technical and organizational measures to protect personal data. The use of such tools involves the processing of certain personal data (e.g., identification data, image, voice, information shared during participation, and—where applicable—textual content such as chat messages or files).

All external parties operate under strict confidentiality agreements and apply appropriate data protection measures.

If you are selected, the Voluntary Teacher will transmit your data to CII for the Boosting Lessons organization and delivery; you will later receive further details and a new privacy notice from CII.

Your data may also be transferred to cooperation partners in third countries (e.g. Italy, United Kingdom) as part of the selection process. In the absence of an adequacy decision by the Federal Council, we use standard contractual clauses or equivalent guarantees to ensure an adequate level of data protection.

How long do we keep your data?

If you are not selected, your data will be retained for up to 6 (six) months after the end of the selection process, except when necessary to retain it longer to protect our rights in case of legal claims or disputes.

The copy of your passport, collected solely for the purpose of identity verification, is retained only for the time strictly necessary to complete the verification process and is permanently deleted immediately thereafter. No copy is stored once the verification has been finalized.

If you are selected, your data will be processed under a new privacy notice specific to Project activities.

The Foundation will retain your contact details for the purpose of sending promotional materials for up to 2 (two) years from the date of your application, provided that you have given your consent for such communications.

Your rights

You (and your parents/guardians if you are a minor) can:

  • Request access to your personal data,
  • Correct inaccurate information,
  • Request deletion,
  • Limit or oppose processing,
  • Withdraw consent at any time.
  • Lodge a complaint with the relevant supervisory authority (e.g. for Italy is the Italian Data Protection Authority, https://www.garanteprivacy.it, and for Switzerland is the Federal Data Protection and Information Commissioner, edoeb.admin.ch.

International Access Policy

The Foundation operates internationally but does not specifically target users from any particular country. Access to our website is open to users globally without geographic discrimination.
